PURPOSE OF ROLE:

The Accounting & Finance Specialist (AFS) supports Guiding Communities You’re Proud To Call HomeTM by executing the day-to-day accounting transactions that keep client association and corporate financial records accurate, current, and audit-ready. This role is the hands-on execution layer of the Accounting & Finance department, responsible for processing work correctly the first time so that the reporting, reconciliation, and financial decision-making built on top of it can be trusted.

The AFS performs assigned work across accounts receivable, accounts payable, cash application, bank reconciliation support, financial reporting preparation, and account record maintenance. This role carries no supervisory responsibility. The AFS works within established procedures, escalates exceptions rather than resolving them independently, and partners daily with Community Association Managers, Client Support, homeowners, vendors, financial institutions, and other Accounting & Finance team members.

This position supports organizational scalability by absorbing transactional volume with accuracy, documenting the work consistently, and surfacing process friction early so it can be corrected at the source rather than absorbed as rework.

JOB SUMMARY

The Accounting & Finance Specialist (AFS) is responsible for the accurate and timely execution of assigned accounting transactions across both client association accounting and internal corporate accounting functions. Work is performed within established workflows, internal controls, and company standards under the direction of the Accounting & Finance Manager.

The AFS prepares, processes, and documents accounts receivable, accounts payable, cash application, reconciliation support, and financial reporting inputs. Review, approval, and final sign-off authority for this work remains with the Accounting & Finance Manager or designated leadership. The AFS is accountable for the accuracy and completeness of what is submitted, not for the design of the process or the approval of the outcome.

Success in this role looks like sustained accuracy at volume, disciplined documentation, prompt and clear communication when something does not reconcile, and measurable growth in speed and independence over time.

Due to the collaborative nature of the organization, employees may be asked to support additional projects, initiatives, or operational responsibilities outside of their primary job functions.

ROLES & RESPONSIBILITIES

Accounts Payable & Disbursement Support

• Code, enter, and route vendor invoices for approval in accordance with company procedures.
• Verify invoice accuracy against supporting documentation, contracts, or work orders before submission.
• Prepare check runs and electronic payment batches for review and release by authorized personnel.
• Maintain vendor records, W-9 documentation, and certificates of insurance in coordination with Association operations.

Reconciliation & Reporting Support

• Prepare bank reconciliation workpapers and supporting schedules for manager review.
• Compile monthly financial reporting package components and verify that supporting detail ties to the general ledger.
• Assist with month-end and year-end close tasks as assigned.
• Support audit, tax preparation, and reserve study requests by gathering and organizing documentation.

Mail, Payment & Records Handling

• Process incoming and outgoing accounts receivable mail.
• Scan and deposit checks received in office in accordance with internal controls.
• Maintain complete, organized, and retrievable documentation of all payment-related activity.
• Maintain accurate owner and vendor account records within company systems.

Customer Service & Team Support

• Respond to inbound calls and emails regarding owner accounts, or route inquiries to the appropriate team member.
• Collaborate with Client Support, CAMs, and Accounting team members to resolve account-related issues.
• Assist with administrative tasks and special projects as assigned.

Scope & Decision Authority

• Executes established accounting procedures; does not design, approve, or modify internal controls.
• Prepares and submits work for review. Approval authority for disbursements, write-offs, adjustments, and financial reporting rests with the Accounting & Finance Manager or designated leadership.
• Carries no supervisory, hiring, performance management, or budget authority.
• Escalates exceptions, discrepancies, and policy questions rather than exercising independent discretion on significant matters.

REQUIREMENTS & QUALIFICATIONS

Core Competencies

Technical & Administrative Skills

• Proficiency with Microsoft 365 (Outlook, Word, Excel), including sorting, filtering, and basic formulas in Excel.
• Ability to learn and work confidently within community association management and accounting platforms, including Vantaca.
• Working understanding of double-entry bookkeeping, accounts receivable, and accounts payable fundamentals.
• Ten-key accuracy and comfort with sustained data entry.

Experience & Education

• High school diploma or equivalent required.
• Minimum two (2) years of experience in accounts receivable, accounts payable, bookkeeping, or a comparable accounting support role. [AFM currently states one (1) year; confirm the intended distinction between levels]
• Coursework or a degree in accounting, finance, or business preferred.
• Experience in property management, HOA/COA accounting, or a multi-entity environment strongly preferred.

• Reliable attendance and adherence to internal controls, segregation of duties, and documented procedures.
• Availability to support elevated workload during month-end close, annual billing, and audit cycles.
• Professional demeanor aligned with company brand and financial stewardship expectations.

Physical & Environmental Requirements

• Primarily sedentary office work with extended periods at a computer workstation.
• Frequent use of a keyboard, monitor, telephone, and standard office equipment.
• Occasional lifting or carrying of files, mail, and supplies up to twenty-five (25) pounds.

With demonstrated accuracy, ownership, and increasing independence, the Accounting & Finance Specialist may progress toward Staff Accountant, Accounting & Finance Manager, or other specialized positions, subject to qualifications and business needs.
